Transportation Department Chief Clerk

The Belt Railway Company of Chicago (BRC) is currently accepting applications for the position of Transportation Chief Clerk. This role is responsible for providing comprehensive administrative support to the BRC Transportation Department and will play a vital part in ensuring smooth departmental operations.

Key Responsibilities:

• Provide administrative support to the Transportation Department management team.

• Prepare and maintain time-sensitive union-related correspondence.

• Coordinate and schedule meetings, conference calls, and travel arrangements.

• Maintain and organize department records, reports, and confidential documentation.

• Prepare, format, and distribute departmental reports, operational bulletins, and safety notices.

• Handle incoming communications including phone calls, emails, and other correspondence.

• Communicate with customers and other railroads regarding service-related matters.

• Order and manage office supplies and departmental equipment inventory.

• Enter data into transportation management systems and maintain digital filing systems.

• Monitor and support workflow processes to ensure efficient departmental operations.

• Support the onboarding and orientation of new department personnel.

• Serve as a liaison with other departments, vendors, and external agencies.

• Perform additional administrative duties as assigned.

Qualifications:

• High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

• 2+ years of administrative or clerical experience required; experience in transportation or railroading is a plus.

• Strong knowledge of office procedures, record-keeping, and document management.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

• Excellent written and verbal communication skills.

• Ability to handle sensitive information with discretion and confidentiality.

• Strong organizational and time management skills with the ability to prioritize tasks efficiently.

• Knowledge of FRA regulations and railroad terminology is a plus.

• Capable of working independently and collaboratively in a fast-paced environment.

• Must be legally authorized to work in the United States.

• Must be able to work variable shifts as operational needs require.

• Proven ability to manage tasks with minimal supervision and demonstrate self-motivation.

• Knowledge of computer-based reporting and tracking programs is preferred.

Additional Information:

This is a Transportation Communication Union-represented position. Compensation and benefits are determined by the Current Working Agreement. The BRC reserves the right of appointment to this position as per Rule 1(e) of the Current Working Agreement. The ideal candidate will be highly organized, motivated, and eager to learn the various aspects of the role. The position requires cooperative interaction with employees in all departments, both union and management, as well as external vendors and customers.
